Job Summary As a Maintenance Admin, you will support the maintenance department by organizing schedules, managing documentation, coordinating communication, and assisting with administrative tasks to ensure smooth and efficient maintenance operations. Responsibilities Schedule maintenance tasks and appointments to ensure timely completion of work Maintain accurate records of maintenance activities, including work orders, repairs, and equipment inventory for easy reference and tracking Coordinate communication between maintenance staff, management, external contractors, and clients to facilitate smooth operations Prepare reports and presentations related to maintenance operations to inform management decisions Monitor maintenance budgets and expenses to support cost control Procure necessary supplies and materials to ensure maintenance projects proceed without delays Assist in developing and implementing maintenance procedures and protocols to improve operational efficiency Respond promptly to maintenance requests and inquiries from staff and tenants to maintain service quality Perform general administrative tasks such as data entry, filing, and correspondence to support the maintenance team Complete ad hoc tasks assigned by superiors to meet department needs Communicate effectively with customers and stakeholders using strong interpersonal, communication, and negotiation skills Required competencies and certifications Proficiency in Microsoft Office and Excel to manage documentation and reporting Preferred competencies and qualifications Minimum 2 years of working experience in a related field to support maintenance administration
