Description
Responsibilities
  • Review and manage SOPs and checklists to ensure facility operations and event logistics adhere to organisational standards.
  • Oversee maintenance work and event logistics, ensuring all preparations are made in advance, including stage setup, audio-visual systems, lighting, power supply, and venue handovers.
  • Assist in setting up portable audio, lighting, and power systems for events and programmes.
  • Provide ongoing facility support, including conducting regular inspections, identifying and addressing building defects, and ensuring contractors maintain high standards of maintenance.
  • Conduct daily checks on housekeeping, landscape maintenance, and common areas to ensure the premises are clean, safe, tidy, and well-maintained.
  • Coordinate with cleaning staff and contractors to carry out rectification and cleaning works when necessary.
  • Carry out minor repair and maintenance works such as replacement of blown bulbs, patching, painting, and masonry works where required.
  • Assist in the day-to-day operation of the building, including preventive and corrective maintenance programmes.
  • Conduct inspections for tenant fitting-out works, venue handover/takeover, and reinstatement works.
  • Identify, record, and follow up on building defects and maintenance issues.
Business Continuity Plan, Security & Fire Safety
  • Participate in fire safety and security operations, including serving as an in-house Fire Warden and supporting security operations.
  • Support the Company Emergency Response Team (CERT/ERT) and assist in maintaining building safety and emergency preparedness.
  • Ensure compliance with statutory requirements, workplace safety regulations, and company safety procedures.
  • Track and manage Permit-to-Work (PTW) applications to maintain a safe and secure environment.
  • Ensure event vendors and contractors comply with all safety rules and operational requirements.
Procurement & Contracts Management
  • Manage key systems and service contracts including cleaning, pest control, landscaping, plumbing, security, waste disposal, lifts & escalators, genset, fire protection systems, PA systems, and auto sliding doors.
  • Coordinate minor building repairs and oversee related contracts to ensure timely completion and quality workmanship.
  • Assist in sourcing quotations, tender invitations, and cost comparisons for maintenance and operational works.
  • Ensure contractors perform maintenance services according to contractual obligations, service agreements, and operational standards.
  • Conduct regular checks and inspections to ensure effective management of facilities, common areas, M&E systems, fixtures, fittings, and carpark operations.
Stakeholder & Event Coordination
  • Coordinate with tenants, contractors, vendors, and internal stakeholders on facilities, maintenance, and event operational matters.
  • Provide operational and facility support during major events and attend to ad-hoc operational duties assigned by Management.
  • Ensure all event preparations and venue setups are completed according to operational requirements and timelines.
Administrative Duties
  • Prepare maintenance reports, inspection findings, operational records, and contractor service documentation.
  • Maintain proper records for maintenance schedules, defects tracking, contractor works, and statutory inspections.
  • Perform any other duties assigned by the Manager Estates / Management.
Qualifications
  • At least 2 years of relevant working / internship experience in facilities or operations management or similar role.
  • Team player with good networking, communication, and interpersonal skills to be able to work with a diverse set of people including staff, commercial and non-commercial partners.
  • Experience in event logistics, maintenance operations, and contract management.
  • Resourceful, and able to work independently as well as a team member to meet deadlines.
  • Good written and verbal communication skills and good interpersonal and communication skills.
  • Must be creative, self-motivated, disciplined and able to work both independently and in teams.
