RESPONSIBILITIES Job Role Summary: The Executive,Operations is responsible to provide general office and administrative support to ensure efficient and effective operations in the Home Care Department. You will need to: General Administration To provide administrative support to apply for clients' financial schemes such as e-Giro and with other external agencies such as Medifund, Medisave, eSMF) to ensure timely submission for claims To extract, monitor and pull data to assist and coordinate with the scheduling for client review assessments To maintain learning calendars, training materials and submission of document on a weekly basis To maintain audit schedule and coordinate with stakeholders to ensure the documents are up to dateTo compile and onboard clients for e-giro payment as preferred mode of payment Create, maintain, and update automated reports and interactive dashboards Assist Home Care Department in organising meetings and events Vendor Management To create, compile, and maintain the vendor contracts To maintain regular reports on operations, expenses, and administrative activities To schedule appointments with vendors to see clients on a timely basis To coordinate between vendors and clients ensuring appointments are created and fulfilled on a timely basis Inventory Management Oversees storage and dispensing consumables. Supervise the proper inventory management of medical and non-medical supplies to ensure there is adequate stocks are available to meet operational requirements To establish workflow with other respective business unit(s) to draw down supplies in the centres. Medisave Operations To work with both internal and external stakeholders to set up medisave system to benefit Home Health clients To work closely various stakeholders to ensure medisave claims are submitted on a timely basis Data Compilation and Coordination To provide general administrative support with the team of care coordinators which includes internal and external platform applications (SMF consumables, Home Nursing, Home Therapy extension) Assist and coordinate with care coordinators and nurses in scheduling for client review assessments. Coordinate with vendors to ensure timely delivery of products and services Maintain learning calendars, training materials, and submission of documentation Track participation, completion rates, and learning metrics Additional Responsibilities Prepare ad-hoc reports and other administrative work as assigned by the Home Care operations team. Support in department meeting minutes Work closely with the operations team to ensure the premises within the Home Care Department is kept neat and organized. QUALIFICATIONS
You should: Have minimum Diploma, GCE 'A' level, Certificate in Business Administration/Management Have a minimum 2 years' of experience in administrative support Be proficient in Google Workspace and Microsoft Office applications Have good communication skills, both oral and written Have a pleasant disposition Be independent, resourceful and self-motivated Please note that your application will be sent to and reviewed by the direct employer - NTUC Health
